We are committed to using AI tools responsibly, ethically, and transparently to enhance the value we bring to our clients—while ensuring that human judgment, equity, and trust remain at the core of our work.
1. Purpose of AI Use
We use AI technologies as assistive tools, not as replacements for human expertise. AI may be applied to:
- Draft agendas, proposals, and reports more efficiently.
- Summarize workshop and meeting notes with greater speed.
- Generate learning materials, case scenarios, and reflection prompts.
- Analyze survey data and qualitative feedback to identify themes and insights.
- Provide visual or written support (e.g., diagrams, recaps, quizzes).
All outputs are reviewed, edited, and contextualized by our consultants before being shared with clients.
2. Human Oversight
- AI never makes final recommendations, decisions, or judgments on behalf of The Hive Consultants.
- All outputs undergo human verification to ensure accuracy, cultural sensitivity, and alignment with the client’s context.
- AI is used as a supporting tool, while facilitation, coaching, and strategy remain human-led.
3. Data Privacy and Security
- We do not use AI in ways that expose confidential client data to public AI models.
- When using AI tools, we minimize identifiable information and anonymize participant inputs where possible.
- Any recordings, transcripts, or data used for AI-assisted analysis are handled in line with strict data retention policies and are deleted after their agreed use.
- Client data is never used to train public AI systems.
4. Equity and Bias Safeguards
- The Hive Consultants applies an Equity Lens to all AI outputs.
- We take steps to identify and mitigate AI bias by:
Reviewing for inclusivity of voices and perspectives.
Preserving verbatim participant language where needed.
Highlighting minority or dissenting viewpoints explicitly.
- Our facilitators apply cultural awareness and DEIB principles to ensure AI-assisted work is context-sensitive.
5. Transparency with Clients
- We disclose when AI has been used in the preparation of deliverables (e.g., reports, summaries, training materials).
- Clients have the right to request that AI not be used in their engagement.
- Consent is explicitly sought if AI-assisted transcription or live note-taking is used during workshops or coaching sessions.
6. Intellectual Property
- Frameworks, models, and original methods (e.g., Cognitive Resilience Coaching Framework, Appreciative Inquiry adaptations) remain the intellectual property of The Hive Consultants.
- AI outputs generated from these proprietary frameworks are considered derivative works and are treated as extensions of our intellectual property.
7. Continuous Learning and Improvement
- The Hive Consultants stays updated on best practices, risks, and opportunities in responsible AI use.
- This policy will be reviewed regularly to reflect changes in technology, client needs, and ethical standards.
